Presentation Instructions

Oral Presentations

A video projector and computer will be provided for every oral session. You may not use your own computer -- a computer with Windows XP + Microsoft Office 2000/XP, Office/OpenOffice and Adobe Acrobat Reader will be provided for all presentations. PowerPoint, OpenOffice or Adobe Acrobat/PDF are the required formats. You must provide your electronic file to a LOC member on a USB drive (memory stick) or a CD-ROM no later than 30 min prior to the start of the morning session on the day of your talk. Timely transfer of your file to the presentation computer is essential to verify that there are no problems with your presentation, and to avoid delays between talks. No overhead projector will be available.

There are two categories of oral presentations: invited and contributed. The time allocations are as follows:

  Time Allocation
Category Presentation Questions
Invited 25 5
Contributed 12 3

Note: Registered participants may request an oral presentation, provided the abstract is submitted by the abstract deadline. The Program Organizing Committee will make the final determination regarding acceptance and the content of the program; those papers that are accepted but cannot be accommodated as oral presentations will be accepted as posters instead.

Poster Presentations

Poster papers will be displayed on panels (free-standing bulletin boards) for the entire duration of the conference. The available area will have an approximate size of:

Authors are encouraged to include a small picture of themselves on their poster to facilitate interactions with other attendees. Note: There will not be flat table space or chairs next to the poster areas. Authors will have access to the display area on the Sunday afternoon and evening prior to the start of the conference to affix their poster to the assigned space.

Exhibit Floor Demo Presentations

Exhibit Floor demonstration sessions will run concurrently with the poster sessions and allow presenters to demonstrate software or network-based services (e.g., VO services or web sites).

For your demo, you will be provided with:

A demonstration fee of £250 is due in addition to the conference registration fee, and will be charged along with your other conference fees.

Note: If you are bringing your own computer equipment, you are encouraged to bring appropriate security accessories with you. Security will be provided for the demo room during hours that the demo room is open.
