Presentation Instructions

Oral - Poster - Exhibit Floor Demo - Focus Group Demo - Policy

Oral Presentations

An overhead projector, video projector and computer will be provided for every oral session. You may not use your own computer. If you plan to make an electronic presentation, PowerPoint or Adobe Acrobat/PDF are the required formats. You must provide your electronic file to a LOC member on a USB drive (memory stick) or a CD-ROM no later than 30 min prior to the start of the morning session on the day of your talk. Timely transfer of your file to the presentation computer is essential to verify that there are no problems with your presentation, and to avoid delays between talks.

Computers will be provided for electronic presentations; we will have one each of:

  • Windows XP + Microsoft Office 2000/XP, Office/OpenOffice
  • Mac Powerbook + OSX, Office/OpenOffice

There are two categories of oral presentations: invited and contributed. The time allocations are as follows:

  Time Allocation
Category Presentation Questions
Invited 25 5
Contributed 12 3

Note: Registered participants may request an oral presentation, provided the abstract is submitted by the abstract deadline. The Program Organizing Committee will make the final determination regarding acceptance and the content of the program; those papers that are accepted but cannot be accommodated as oral presentations will be accepted as posters instead.

Poster Presentations

Poster papers will be displayed on panels (free-standing bulletin boards) for the entire duration of the conference. The available area will have an approximate size of:

  • width: 1.1 meter
  • height: 1.1 meter. It will be possible for a poster to extend below the bottom of the board.
Authors are encouraged to include a small picture of themselves on their poster to facilitate interactions with other attendees. Note: There will not be flat table space or chairs next to the poster areas. Authors will have access to the display area on the Sunday afternoon and evening prior to the start of the conference to affix their poster to the assigned space.

Exhibit Floor Demo Presentations

Exhibit Floor demonstration sessions will run concurrently with the poster sessions (in the same room) and allow presenters to demonstrate software or network-based services (e.g., VO services or web sites).

For your demo, you will be provided with:

  • a table, approximately 8 ft x 2.5 ft (2.44m x 0.76m)
  • two chairs
  • a board with at least 1 square meter of space for poster materials, located behind the table
  • power supply (AC: 120V, 60Hz)
  • an Internet connection
  • Laptop computer (optional, for an additional US$150 fee)

If you require a large-format display monitor for demo purposes, please contact the LOC for availability and pricing. If you have other special requests concerning your demo booth, please contact the LOC (adass2006@adass.org)

A demonstration fee of US$400 is due in addition to the conference registration fee, and will be charged along with your other conference fees.

Note: If you are bringing your own computer equipment, you are encouraged to bring appropriate security accessories with you. Security will be provided for the demo room during hours that the demo room is open.

Focus Group Demo Presentations

Focus Groups are allocated a 30 minute block of time in the oral program, in a private meeting room. For your demo, you will be provided with:

  • Private Room
  • Digital Projector
  • Screen
  • Overhead projector (if requested)
  • Microphone
  • Podium
  • Internet Connection (DHCP)
  • Laptop computer (optional, for an additional US$150 fee)

A focus group demonstration fee of US$200 is due in addition to the conference registration fee.

If you have special requests concerning your demo, please contact the LOC (adass2006@adass.org)

Policy

All contributors must adhere to the ADASS presentation and publication policy. Read the complete policy. Notable among the policy provisions are:

  • The first author is the presenting author, and must attend the conference
  • Registered attendees may present only one paper, be it oral or poster
  • Attendees or collaborators may be co-authors on any number of presentations
  • Presentors may also contribute one demo
  • Only papers that are presented at the conference will be published in the proceedings

Policy provisions will be strictly enforced.
